Searching the UIS Service Catalog and Knowledge Base

Summary

Learn how UIS portal search finds services, service offerings, and Knowledge Base articles, and how to refine your results or browse the Service Catalog.

Body

Overview

Use the UIS Self-Service Portal to find University Information Services (UIS) services, service offerings, and Knowledge Base articles.

This article explains how to:

Search the UIS Portal

The Search Entire Site field on the UIS landing page is often the best place to begin a general search.

Review Suggestions as You Type

Enter a short term for the application, system, or service you need. As you type, the portal suggests services and other items with matching titles. Select a suggestion to open it directly, or select Search to view broader results.

Review the Full Search Results

A full search looks beyond titles. Results may appear because the search term is included in a title, service description, Knowledge Base article, or tag.

For example, a search for access may return the Identity & Access Management service because the term appears in its title and description. It may also return other services or articles where access appears in the title, description, article content, or tags.

Review each result’s title, content type, description, and location in the portal to identify the closest match.

Fine-Tune Your Search

If a general search returns too many results or does not return what you need, adjust how you search.

Narrow the Content Type

Use the dropdown next to the Search the client portal field in the upper-right corner to search:

  • All portal content
  • Knowledge Base articles only
  • Service Catalog services and service offerings only

Start with All when you are unsure what type of result you need. Select Knowledge Base when you want instructions or information. Select Service Catalog when you want to request a service or report an issue.

Search the client portal dropdown showing All, Knowledge Base, Service Catalog, and Questions.

Search by Tag or Exact Phrase

Use one of these search formats when you want more specific results:

  • Tag: Enter the # symbol followed by a tag, such as #data, to find content associated with that topic. You can also select a tag displayed on a service or Knowledge Base article to find related content.
  • Exact phrase: Place quotation marks around multiple words, such as "UIS Self-Service Client Portal Overview", to search for that complete phrase.

Browse the UIS Service Catalog

Browsing can help when you know the general type of assistance you need but do not know the exact service name or search term.

  1. Select Request a Service on the UIS landing page. You can also select Services in the portal navigation, then select Service Catalog.
  2. Select the category that most closely matches your need.
  3. Select a service to review its description and available service offerings.

The Service Catalog is organized as:

  • Category: A broad area of UIS support
  • Service: A UIS-supported product, function, or area of assistance within a category
  • Service offering: A specific request or type of help available through a service

Tip: If you use a service frequently, select Add to Favorites on the service page. To return to it later, select My Favorites in the Services navigation.

When you find the appropriate service, select the service offering that most closely matches what you need. For help completing and submitting the request, see Submitting, Viewing, and Updating Tickets in the UIS Self-Service Portal.

If You Cannot Find What You Need

Try another short search term, narrow the content type, search by tag, or browse the most closely related Service Catalog category.

The UIS Knowledge Base is still growing, and our use of tags is still maturing. Some topics may not have an article or an established tag yet, and search results may not always include every relevant item. UIS teams are continuing to add and update content and improve tags to make information easier to find.

If you are still unsure, submit a request through the closest matching service. Provide a clear description so the UIS Service Desk can redirect the ticket if another support team is better suited to help. The more information you provide, including relevant attachments or screenshots, the better!

You can also contact the UIS Service Desk at 303-860-HELP (4357) or help@cu.edu.
